We are not required to appoint a Data Protection Officer. Our Founder & Director, Sushil W Gaikwad, is responsible for data protection at UKISIF.
2. What this policy covers
This policy explains how we handle personal data submitted through the contact form and membership application form on www.ukindiasif.com, and in any follow-up correspondence.
It applies to you whether you contact us for yourself or as a representative of an organisation. Information about a company itself is not personal data, but details about you as its contact are.
This policy does not cover third-party websites we link to. Please read their own privacy notices.
3. What we collect
We collect only what you enter in our forms, plus limited technical data generated when you submit them.

Payment card details are entered directly with our payment provider. We do not see or store your full card number.
Verification. To assess membership applications, we may check publicly available sources such as Companies House and your organisation's website.
Sensitive information. We do not ask for special category data (such as health, religion or political opinions). Please do not include it in free-text fields.
4. How we use your data and our lawful bases
We use your data only for the purposes below, each tied to a lawful basis under Article 6 of the UK GDPR. We never sell your data.

Where we rely on legitimate interests, we have balanced them against your rights. You can ask us for details of that assessment.
We do not make decisions about you based solely on automated processing, including profiling.
5. Who we share your data with
We share personal data only where needed for the purposes above.
Service providers acting on our instructions: website hosting, form and CRM tools, email delivery, payment processing, IT support and accountants. They are bound by contract to protect your data.
Partners you ask to be introduced to, such as businesses, investors, trade bodies or government agencies in the UK or India. We share only what the introduction needs, and only with your agreement.
Event co-hosts and venues, where you register for an event we run with them.
Professional advisers such as lawyers, auditors and insurers.
Regulators, courts and law enforcement, where the law requires it.
A buyer or successor, if UKISIF's business is reorganised or transferred, under equivalent privacy protections.
6. International transfers
Because our work connects the UK and India, some of your data may be transferred outside the UK.
To India, when you ask us to introduce you to Indian partners, investors or public bodies. India does not currently have UK adequacy status. We use the ICO's International Data Transfer Agreement (IDTA) or the UK Addendum to the EU Standard Contractual Clauses. Where that is not possible, we transfer only what is necessary to carry out a service you have requested.
To service providers in the EEA, the USA or elsewhere. We rely on UK adequacy regulations (including the UK-US Data Bridge for certified US companies) or approved contractual safeguards.
You can ask us for a copy of the safeguards that apply to your data.
7. How long we keep your data
We keep personal data only as long as we need it, then delete or anonymise it.

The 6-year periods reflect HMRC record-keeping rules and the limitation period for contract claims.
8. How we protect your data
We use appropriate technical and organisational measures to keep your data secure. These include:
encrypted (HTTPS) form submissions;
access limited to people who need it, with strong passwords and multi-factor authentication;
written data processing terms with every service provider; and
a procedure for handling data breaches, including reporting to the ICO within 72 hours where required.
No internet transmission is completely secure, but we work to reduce the risks.
9. Your rights
Under the UK GDPR you have the right to:
access a copy of your personal data;
rectify inaccurate or incomplete data;
erase your data in certain circumstances;
restrict how we use your data;
object to processing based on legitimate interests, and to direct marketing at any time;
data portability, where processing is based on consent or contract and is automated; and
withdraw consent at any time, without affecting earlier processing.
To exercise any right, email privacy@ukindiasif.com. We may ask you to confirm your identity. We respond within one month, and there is normally no fee. For complex requests we may extend this by up to two further months and will tell you why.
10. Marketing, cookies, complaints and changes
Marketing
We send newsletters and event invitations only where you have opted in, or where you are a corporate contact and we have offered an opt-out. Every message includes an unsubscribe link. You can also email us to stop marketing at any time.
Cookies
Our forms use essential cookies and anti-spam tools to work securely. We use analytics cookies only with your consent. See our Cookie Policy(CookiePolicy.dc.html) for details.
Children
Our services are for businesses and professionals. We do not knowingly collect data from anyone under 18.
Complaints
If you are unhappy with how we handle your data, please contact us first at privacy@ukindiasif.com. We will acknowledge your complaint within 30 days and respond without undue delay.
